RACI MATRIX - AN EFFECTIVE TOOL TO ASSIGN RESPONSIBILITIES IN THE PROJECT

Successful projects are clearly divide the person in charge of each of the contents, scope, and items. However, when starting a new project we will face some issues such as:

- Inconsistent responsibilities between individuals or units.

- Many people do the same thing or no one does.

- The process of approval or making decision is unclear.

- Blame each other, no one takes responsibility.

So how to reduce the problems as mentioned above?

The RACI matrix is ​​a technique for clarifying the tasks, responsibilities and authorities of individuals or units.

The plan for this assignment is divided into 4 "groups" in turn letters:

R.A.C.I

R = Responsible: Person / department is responsible for implementation.

A = Accountable: The person is responsible for approving the project.

C = Consulted: Sometimes when we doing a project / plan if it is R, before sending it for A approving, it is better having some advisors (consultants).

I = Informed: Those who may not do anything in the project / campaign, but they are the ones who need to know the information. For example, the marketing department develops a program that may not be directly related to sales, but the sales department should know because customers may ask.

Method:

Step 1: Identify all related tasks and list them on the left side of the matrix.

Step 2: Identify the individuals / units involved in the work / project, listing them along the top of the matrix.

Step 3: Complete the boxes of the matrix, identify the responsible persons, the executors, the people to be consulted, and the person who must be notified for each task.

Step 4: Share, discuss and unify the RACI matrix with stakeholders before running project.

Note: Make sure each task has at least 1 person (R) and no task has more than 1 person (A).

 

As mentioned above, with this matrix you can customize some additional information such as job performance requirements, procedures to be followed, KPI evaluation criteria.

In addition, the last secret of the RACI will be revealed at the end of the work, when we summarize each person has the letter A, the letter R. If anyone has too many letters R, then check again if they are overloaded. If there is someone that is less R then check again if they are too free. But you should more flexible, sometimes a letter R take longtime to finish, sometimes it doesn’t.
